Preparation & Pre-Planning

Selecting a Theme:

The first step in planning a themed party is choosing the perfect theme. Whether it’s based on a favorite movie, book, era, or hobby, the theme sets the tone for the entire event. Brainstorm ideas that reflect the guest of honor’s interests and preferences and consider factors I’ve listed below. Once you’ve settled on a theme, let your imagination run wild! Here are the best steps to picking your theme:

  2. Think About the Guest of Honor: If the party is for someone specific, consider their interests, hobbies, and personality.   4. Look for Inspiration: Browse through magazines, websites, and social media for ideas. Pinterest is a great resource for finding party theme inspiration. And of course, this website, Plan by Blog.
  5. Get Creative: Don’t be afraid to think outside the box and come up with a unique theme. Consider combining different ideas or putting a twist on a classic theme.
  6. Consider the Venue: The location of the party can also influence the theme. For example, a party at a park might lend itself to a picnic theme, while a party at a bowling alley could be a retro bowling theme.
  7. Think About the Budget: Consider the budget for the party and choose a theme that can be executed within that budget. Some themes may require more decorations or activities than others.

Creating a Guest List:

Two Weeks Before:

Follow up with guests who haven’t RSVP’d and make any necessary adjustments to your plans based on final headcounts. Purchase perishable food items and prepare any make-ahead dishes that can be frozen or refrigerated until the party.

One Week Before:

Double-check your inventory of party supplies and decorations and make a final run to pick up any last-minute items. Review your timeline and confirm all arrangements with vendors and helpers to ensure everything is on track for the big day.

Day Before:

Set up your party space according to your theme and make any final adjustments to decorations and layout. Prepare any remaining food items that can’t be made in advance and review your timeline one last time to ensure everything is in order.

Monitor the flow of the party to ensure smooth transitions between different segments and activities. Encourage participation and interaction among guests. Handling Emergencies:

Stay calm and composed in the face of unexpected challenges or emergencies. Be prepared to address them swiftly. Have a first aid kit on hand and familiarize yourself with basic first aid procedures and designate a point person to handle any emergencies that may arise. Express your gratitude to your guests for attending the party and making it a memorable occasion. Consider including photos from the party to make you thank-you message extra special and heartfelt. A great way to thank guests and keep the memories going is to send home small party favors that fit with the theme.
